What a Business Manager is, and what it isn’t

A Business Manager is the account that owns your business assets on Meta: your Facebook pages, Instagram accounts, ad accounts, pixels, product catalogs and the people allowed to work on them. Meta now shows most of it inside Meta Business Suite and calls it a “business portfolio” in some menus, but the idea has not changed. It is a container that sits between people and assets, so that access is given to a role instead of handed over with a password.

It helps to be clear about what a Business Manager is not:

  • It is not a separate login. You still sign in with your personal Facebook profile. The Business Manager is something your profile manages, not a second identity.
  • It is not an ad account. It can own several ad accounts, each with its own currency, payment method and limits.
  • It is not visible to customers. Nobody browsing your page sees your Business Manager; it exists only for you and your team.

When a Business Manager is set up well, you can add or remove a designer, an agency or an employee in a minute, without anyone ever knowing your password. When it is set up badly, or not at all, a single lost login can cost you the page, the ad account and years of data at once.

Why your ads should live in a Business Manager

Many small businesses start advertising from a personal ad account, created automatically when someone first clicked “Boost post”. It works, until it doesn’t. Three things usually go wrong.

Ownership is unclear. If a former employee or freelancer created the page or the ad account from their own profile, they are the owner, not you. We regularly meet businesses whose most valuable page is controlled by someone who left years ago.

Access is shared the wrong way. Without a Business Manager, the only way to let someone help is to share a login or make them an admin of the page directly. Shared logins break Meta’s rules, trigger security checks when used from different countries and leave you with no record of who did what.

There is no backup. A personal ad account depends on one profile. If that profile is hacked, locked or restricted, the ads stop and nobody else can step in. A Business Manager with two properly secured admins keeps running when one of them has a problem.

Moving everything into a Business Manager fixes all three. It is also the starting point for things that only work at business level, such as Pixel and Conversions API tracking shared across ad accounts, catalogs for product ads and business verification.

How we set up your Business Manager

The work is mostly planning and careful clicking. The planning matters more, because some choices are hard to undo later.

1. Map what you have

We start by listing every asset and every person: which profile owns the page, where the ad accounts sit, whether a Pixel exists and who created it, which agencies or freelancers still have access. This takes one short call or a list you fill in. It is the step most people skip, and it is where most surprises are found.

2. Create or clean up the Business Manager

If you do not have one, we guide you while you create it from the profile that should own it, usually the business owner’s. If you already have one, or several, we decide together which one to keep. Duplicate Business Managers are common and confusing; in the Pro package we untangle them and move assets into the one you keep.

3. Plan the people and their roles

Every person gets the least access they need. The owner and one trusted backup get full control. Employees get access only to the assets they work on. Agencies and freelancers are added as partners, from their own Business Manager, so they never become admins of yours. Two-factor authentication is turned on as a requirement for everyone.

4. Move and assign the assets

Pages, Instagram accounts, ad accounts and pixels are claimed by or shared with the Business Manager, then assigned to the people who need them. Where an asset belongs to someone else, such as a page created by a former freelancer, we guide you through requesting access or ownership the official way. We never ask anyone to hand over a login.

5. Security and a backup admin

We check the security settings, set up a second admin you trust and remove anyone who no longer needs access. Being the only admin is the most common single point of failure we see. Two admins, both with two-factor login, is the minimum we recommend.

6. Handover

You receive a written map of your setup: who has which role, which assets are where, which partners have access and what to check each quarter. Then we remove our own access and confirm it in writing, unless you ask us to stay on.

Before you start: the profile that creates the Business Manager becomes its first admin. Make sure it is a secure, complete profile that belongs to the business owner. If that profile is brand new or has had problems, our Facebook account setup is the better first step.

Roles and access, explained simply

Meta has renamed roles several times, and the labels in your menus may differ slightly. The principle stays the same: give each person only what they need.

WhoAccess we usually giveWhy
Business ownerFull control of the Business ManagerThe owner must always be able to add, remove and recover everything.
Trusted backup (partner, co-founder)Full controlA second admin keeps the business running if the first profile is locked or hacked.
Employee running adsPartial access to the ad accounts and pages they useThey can work without being able to remove people or delete assets.
Agency or freelancerAdded as a partner with access to specific assetsThey use their own Business Manager, and access ends the moment you remove it.
Accountant or financeBilling access onlyThey can see invoices and payment methods without touching ads.

How to check who owns your assets today

Before paying anyone, it is worth spending ten minutes finding out where you stand. You can do all of this yourself, and the answers tell you whether you need a full setup or just a small fix.

  1. Open Business Settings. In Meta Business Suite, open the settings for your business. If you see no business at all, your assets are probably still on personal profiles.
  2. Check the page. Under accounts, open your Facebook page. It should be listed as owned by your business, not only shared with it. If it is shared, someone else’s Business Manager owns it.
  3. Check each ad account. Look at who owns it and which people have access. Ad accounts created by an agency inside their own Business Manager belong to them, even if you pay the bills.
  4. Check the Pixel or dataset. Find out which business owns it. A Pixel owned by a former agency is one of the most common and most expensive surprises.
  5. List the people. Go through everyone with access. Anyone you do not recognise, and anyone who no longer works with you, is a risk.
  6. Check two-factor login. See whether it is required for everyone. If it is not, turn it on today.

If every asset is owned by your business, there are at least two admins and two-factor login is required, you are in good shape and may only need an occasional review. If several answers surprised you, that is exactly the situation this service is built for. Either way, keep the notes you made: they are the first thing we would ask for.

How a clean setup protects your revenue

A Business Manager does not make an ad perform better. What it does is protect the things that make ads perform over time.

Your data stays with the business. Pixel history, custom audiences and past campaign results are what let Meta find buyers efficiently. When they live in a Business Manager you own, they survive staff changes, agency changes and lost logins. When they live on someone’s personal profile, they can leave with that person.

Changing agencies takes minutes, not weeks. If your agency is a partner, switching to another one means removing one partner and adding another. If they own your ad account, you may have to start a new one from zero and pay for the learning phase again.

Problems stay contained. With separate ad accounts for different brands or regions inside one Business Manager, a problem in one account does not automatically stop the others. And when something does go wrong, a clear setup makes it much easier to work out why. If an account has already been stopped, our disabled ad account help starts from exactly that kind of map.

For a business that spends money on ads every month, those three points are the difference between a bad week and a lost quarter.

Pros and cons of a professional setup

Meta’s own guides explain every step, and if you enjoy this kind of work you can follow them. Here is how doing it with us compares.

ProsCons
Ownership questions are found and solved before they become emergencies. It costs money you could save by spending a few evenings on it yourself.
Roles are planned, not added in a hurry when someone needs access. You need to answer some questions and join a short call; it is not completely hands-off.
Agencies and freelancers get safe partner access instead of logins.Assets owned by someone else can take time to recover, and that depends on them or on Meta.
You get a written map of your setup for later.A good structure still needs a quarterly check; people and assets change.
A second admin and two-factor login remove the biggest single risk.It does not prevent ad rejections caused by ad content or landing pages.

Who this service is for

A good fit

  • Businesses advertising from a personal ad account that want to move to a proper structure.
  • Owners who are not sure who controls their page or ad account, or who still has access.
  • Teams onboarding a new agency or freelancer and wanting to do it safely.
  • Brands with several pages, Instagram accounts or ad accounts that need one clear home.

Not the right fit

  • Business Managers that are currently restricted. That needs a cause review first, not a reorganisation.
  • Anyone hoping to use several Business Managers to get around a restriction. It does not work, and it puts every connected asset at risk.

Common Business Manager mistakes

  1. Only one admin. If that profile is locked, nobody can manage the business.
  2. Agencies as admins. Giving an agency full control of your Business Manager instead of partner access to specific assets.
  3. Creating it from a new or shared profile. The first admin should be a secure profile that belongs to the owner.
  4. Duplicate Business Managers. Creating a new one every time something is confusing, until assets are spread across three of them.
  5. Never removing anyone. Former employees and old agencies keeping access for years.
  6. Ignoring security notices. Skipping two-factor login or leaving security warnings unread.

Ad text causes problems too, even in a perfect structure. Before you publish, a quick run through our free ad policy checker flags phrases that often lead to rejections.

How long it takes and what we need from you

A new Business Manager with one page and one ad account is usually ready in two working days. Clean-ups take three to four days, mainly because recovering assets from other people depends on how quickly they respond. To start, we need:

  1. The profile that should own the Business Manager.
  2. A list of your pages, Instagram accounts, ad accounts and pixels, with who you think owns each one.
  3. The people who need access, and roughly what they do.
  4. Any agency or freelancer that should be added as a partner.

We never need your password. Everything happens through partner access you grant, or on a short call where you stay in control of your own screen. To understand the official terms used in your menus, Meta’s Business Help Center is the most reliable reference.

FAQ

Facebook Business Manager Setup: common questions

Is Business Manager the same as Meta Business Suite?

They are two views of the same thing. Business Suite is the newer interface, and the settings we work in are the same Business Manager settings underneath.

I already have a Business Manager. Is this still useful?

Often yes. Most of our work is cleaning up existing setups: removing old admins, moving assets out of personal profiles and fixing roles.

How many Business Managers can I have?

Meta limits how many a single profile can create. We set up the one you need and explain when a second one makes sense.

Do you keep access after the setup?

Only if you ask us to. By default we remove our partner access when the work is done and confirm it in writing.

Can an agency still run my ads afterwards?

Yes. We add them as a partner with access to only the assets they need, so you keep ownership.

What do you need from me to start?

Your business name, the profile that will be the main admin, and a list of pages, ad accounts and people who need access.
